Your First Visit

New Patient Guide

If you’re like most patients, you appreciate being informed before arriving at the dentist. Being well-prepared for your dental appointment will ensure that we have all of the needed information to provide the best possible dental care for you. It will also help relieve any unnecessary anxiety you may be feeling.

Our commitment to you, starting from your first visit to our dental office, is to work together to create a lifelong relationship with our practice. We hope to make it easier with the following tips and an overview of what you can expect when visiting Beachstone Dental.

Your first visit is not only about our team getting to know you, but also about you getting to know our team. In the time we spend together, we encourage you to ask questions, express your concerns, and share with us anything you want us to know to help make your care as individual as you are. If you like, please take some time to browse through our website and familiarize yourself with our dentist, Dr. Prasad, and his philosophy.

We want you to know we will go above and beyond to make you feel relaxed and safe. Both your physical and your emotional comfort are important to us. So please come in, relax, and unwind – you’re in great hands.

What to expect during your first new patient dental appointment?

At Beachstone Dental, we believe in providing comprehensive care tailored to your specific needs. That’s why we offer both complete oral exams and limited oral exams, each serving a unique purpose in ensuring your dental health.

Your first visit with us may be for a comprehensive examination or a limited examination.

Comprehensive Oral Exam:  A complete oral exam is a thorough assessment of your overall oral health. During this examination, our experienced dental team will meticulously examine your teeth, gums, jaw, and surrounding oral structures. We will check for any signs of decay, gum disease, oral cancer, and other potential concerns. This comprehensive evaluation allows us to create a personalized treatment plan, addressing any issues and promoting your oral well-being.

Limited Oral Exam:  A limited oral exam is a focused examination designed to address a specific concern or problem area. Whether you’re experiencing tooth pain, a broken restoration, or localized discomfort, we will concentrate our efforts on the specific area of concern. By focusing on the problem at hand, we can efficiently diagnose and address the issue, alleviating any discomfort you may be experiencing. Emergency dental care is generally focused pain alleviation at your first appointment. Thereafter, follow-up appointments are usually needed to treat the root issue(s).

We understand that every patient is special, with unique dental needs. Whether you require a complete oral exam or a limited oral exam, rest assured that we are here to provide exceptional care for your oral health. Our friendly team is dedicated to ensuring your comfort throughout the entire process. We’ll gladly answer any questions you may have and explain our findings and recommendations in a clear and compassionate manner.

After completing your thorough examination, we’ll discuss the results together, addressing any questions or concerns you might have. Based on the conditions present, Dr. Prasad will recommend a treatment plan that suits your specific needs and goals. Should further treatment be necessary, we’ll discuss your options, treatment plan, priority levels, treatment phases, schedule future appointments, and provide a detailed breakdown of estimated fees. We are committed to transparent financial arrangements, ensuring that you are informed and comfortable with the timing and affordability of your dental treatments. The decision to proceed with treatment is always yours.

Please note that same-day treatment, such as dental cleanings, fillings, or extractions, cannot be guaranteed at your first visit. Various factors, including your health history, medications, present oral conditions, infections, treatment complexity, and time constraints, may affect the availability of same-day treatment. It is also important for us to perform a comprehensive oral examination before proceeding with a teeth cleaning, to ensure the best possible care.

Your first visit with us may include:

  • Comprehensive oral examination
  • Full mouth digital x-rays
  • Intra-oral photography
  • Oral cancer screening
  • Health History Review
  • Oral hygiene instructions
  • Teeth cleaning
  • One-on-one consultation with our dentist to discuss your needs, concerns, goals, and treatment options

Please remember that the dentist’s examination is obligatory and paramount in the diagnosis of your oral health. During your visit, we will answer all your questions about your oral health. As a patient, you can expect open communication with every member of our dental team.

Preparing for Your First Visit to Beachstone Dental

Confirm your Appointment

When you schedule an appointment at our dental office, it’s crucial to double-check the date and time to avoid any confusion. Mark it on your calendar or set a reminder on your phone to ensure you don’t miss it. This step helps both you and our dental team to manage our schedules effectively.

Before your appointment, make sure you have all the necessary information regarding our office readily available. This includes the address of our dental office, contact number, and any other relevant contact information. Being well-informed about our location will make it easier for you to find us on the day of your appointment.

Consider the time it takes to travel to our office, taking into account factors such as traffic or public transportation delays. Aim to arrive early enough to allow yourself time to check-in, fill out any necessary paperwork, or address any unexpected issues. Arriving promptly ensures that your appointment can start on time, minimizing any unnecessary wait times for both you and other patients.

Prepare Any Questions in Advance

Prior to your first dental visit, think about any concerns or questions you may have regarding your oral health, dental treatments, or oral hygiene practices. Dr. Prasad is here to listen and to provide information and guidance, so please don’t hesitate to ask any specific concerns or topics you wish to discuss with us.

To make the most of your consultation, we recommend preparing a list of questions or concerns beforehand. Writing them down will help you remember and address them during the appointment. This will ensure a comprehensive discussion, prevent any important information from being overlooked, and allow us to address all your needs. During your appointment, we will review your dental history, assess your oral health, and discuss your overall well-being.

Gather and Bring All Pertinent Personal Information

Most dental offices require new patients to fill out a patient information form, medical history questionnaire, and other relevant paperwork. Our office is no different. It is important to fill them out thoroughly and accurately, providing details about your medical history, current medications, allergies, and any dental concerns or past dental treatments.

To ensure a smooth and hassle-free experience during your visit, please have all pertinent information with you so we can confirm your identity, review your health history, and provide you with quality dental care.

This information includes but is not limited to:

  • a current government-issued form of photo identification;
  • your health information – including your medical and dental history;
  • a complete list of all your current medications – including prescription medications, over-the-counter drugs, and/or natural supplements – please include the full name, dosage, and reason for taking the medication.
  • a valid form of payment – we accept cash and most major debit and credit cards;
  • if you have dental benefits – any dental insurance information;
  • and any other information required for us to provide you with quality dental care.

Identification:  For your first visit with us, please bring a valid form of identification to confirm your identity. This can be a government-issued photo ID, such as a Driver’s License, Ontario Photo Card, Permanent Residence Card, or Passport. Additionally, you may bring your health card along.

Health Information:  We kindly request you to bring all your relevant personal information, including a detailed medical history, to your first dental visit. This information is crucial for our dental team to provide you with safe and effective care, as it helps us understand any existing medical conditions, medications, or allergies that may impact your treatment or require special considerations. Your health history enables us to tailor our approach specifically to your needs and ensure the best possible dental experience for you.

Medication Information: Please make sure to bring a detailed list of all the medications you are currently taking, including the names and amounts of each medicine, as well as why you’re taking them. This includes any prescribed medications, over-the-counter drugs, and any vitamins or supplements you may be using. If you have a preferred pharmacy, they can usually give you a complete list of your medications. Alternatively, you can ask your pharmacy to send a fax of your medications to our office before your first visit. Our fax number is (519) 398 – 9208.

Special Considerations:  If you have any special considerations or require pre-medication prior to your appointment, please inform us in advance. We want to ensure your comfort and make any necessary arrangements for your specific needs.

Dental Records:  If you’ve previously visited another dental office, it’s helpful to request your dental records to be transferred to our office. This will provide us with valuable insights about your oral health history, any ongoing treatments, and X-rays, if available. Please consider contacting your previous dental office and authorizing the transfer of your records to ensure seamless continuity of care. We have a convenient Release of Records form available, which you can send to your previous dental office if they require an official written request.

Financial and Billing Information:  Our office operates on a fee-for-service policy and full payment is due at the time of service, unless prior written arrangements have been made with our office. Upon your arrival, please ensure that you have your preferred method of payment ready. We accept cash, as well as most major debit and credit cards.

Insurance Information:  To ensure clarity, we would like to inform you that our office follows a non-assignment of dental benefits policy. If you have dental insurance, we kindly request that you bring your insurance card, policy details, and any pertinent information related to your dental plan. It may be helpful for you to contact your insurance provider prior to your visit to confirm your coverage and familiarize yourself with any co-payments, deductibles, and any other plan limitations that may apply. As a courtesy to our patients, we are happy to assist you by filing dental insurance claims on your behalf.

We want to ensure that your first experience with us is as smooth and efficient as possible, and we appreciate your cooperation in preparing for your first visit.

Arrive at least 15-30 Minutes Before Your First Appointment

When you visit us for the first time, our team will take comprehensive records of your personal and health history so that we have a clear picture of your oral healthcare and your needs. We kindly ask you to set aside a generous amount of time, approximately 1-1.5 hours, for your first visit to our office.

It’s important to note that initial appointments typically require more time as they involve several important steps. These steps include patient registration, reviewing your health history, conducting and analyzing radiography, performing a clinical examination, creating a treatment plan, and engaging in informative discussions. By allowing for enough time, we can ensure that none of these crucial procedures are rushed.

We want to inform you that 15 minutes of your reserved appointment time will be dedicated to completing the new patient paperwork. However, to save time or if you anticipate needing extra time, we recommend filling out these forms in advance, before your scheduled appointment. Moreover, we suggest arriving early and coming prepared with all the necessary information, so you have ample time to complete the check-in process.

Arriving at least 15-30 minutes early for your dental appointment helps us to address any issues with your dental insurance and/or medical history prior to your appointment time with our dentist. Even if you have already completed the paperwork and have no questions, it’s still a good idea to show up a little early to your appointment so you do not feel rushed and it will ease any dental anxiety you may have.

Arrive Prepared

To make your visit as comfortable and convenient as possible, we kindly ask you to take care of a few things beforehand. Please ensure that you have eaten, brushed your teeth, and used the restroom before arriving. We want you to feel at ease during your time with us.

Practicing good oral hygiene before your appointment by brushing your teeth thoroughly and flossing helps ensure accurate examination and prevents any discomfort during the dental cleaning process.

Wear comfortable clothing to your dental appointment. Loose-fitting tops and bottoms will make it easier for you to relax in the dental chair and allow the dental team to access your mouth comfortably.

For the benefit of all our patients, we kindly request that no food or drinks be consumed on our premises. This helps maintain a clean and hygienic environment for everyone. Additionally, our restroom facilities are reserved for patients of the practice only, ensuring privacy and cleanliness.

By following these suggestions and being well-prepared, you can maximize the benefits of your visit and help us provide you with the highest level of dental care. If you have any further inquiries or require additional assistance, please don’t hesitate to reach out to our office. We look forward to meeting you and providing you with excellent dental service!

Relax, You Are in Great Hands…

Our dental office is designed to make you feel right at home, with a friendly team and a relaxing patient lounge. We’re here to guide you through the entire process and answer any questions you may have. Whether you need assistance with scheduling appointments, want to know more about our amenities, or have inquiries about our dental services, feel free to ask us anything!

As it’s your first time with us, Dr. Prasad will personally sit down with you to get to know you better and explain what to expect during your visit. Once the examination is complete, we’ll discuss the results with you and any further treatment that may be required.

During this consultation, we will address any questions or concerns you have and provide guidance on treatment options based on your unique situation and preferences. This includes explaining the risks, benefits, and estimated fees associated with each option, as well as outlining the priority levels and phases of your personalized treatment plan. Dr. Prasad will then recommend a treatment plan tailored to your needs and goals, taking into account our discussion and your specific conditions.

We want to empower you to make an informed decision about proceeding with the treatment, so we ensure transparency in billing. We can also schedule your next appointment for preventive care or for a specific procedure from your treatment plan. We understand the importance of managing your treatments within a time frame that suits your schedule and budget, so we can prioritize and stagger your treatments accordingly.

We believe in open communication and patient empowerment. We encourage you to ask questions, express your concerns, disclose your health history, and share any past negative experiences so we can better understand your unique needs. Together, we’ll work out a personalized treatment plan that ensures your oral health is taken care of with utmost care and gentleness.

After completing your treatment plan, we’ll schedule periodic preventative examinations and professional teeth cleanings. These routine dental visits are crucial for maintaining optimal oral health. By detecting and preventing oral issues early on, we can provide timely treatment and prevent more serious dental problems in the future.

We’re committed to education and prevention. We’ll equip you with the knowledge and tools you need to maintain a healthy smile. Our team will guide you through proper oral hygiene practices and offer valuable tips to prevent dental issues in the future. By fostering a proactive approach to dental care, we aim to hope to build a long-lasting relationship based on trust and confidence.

At Beachstone Dental, we value our patients and are dedicated to delivering outstanding dental care. Your comfort and well-being is our top priority, and we encourage you to ask any questions you may have about your treatment or overall oral health. We strive to keep you informed and educated about your dental care options, ensuring you have a complete understanding of your choices. Our goal is to make your experience as pleasant as possible, and we’ll do our utmost to achieve that.

Patient Information & Our Office Policies

Guidelines for Minors and Patients Under Guardianship

For the best experience and your loved one’s well-being, we’d like to request that if you’re bringing a minor or an adult under guardianship to their appointment, please have a responsible adult, like a parent or legal guardian, accompany them. This way, we can ensure top-notch care and your peace of mind.

For a seamless experience, we might ask parents or legal guardians who come along with the patient to fill out a form and show a government-issued photo ID. It’s just a simple way to make sure we know who you are and your connection with the patient.

To ensure the safety and comfort of our young patients and their families, we kindly ask that only one adult, such as a parent or legal guardian, accompanies the child to their dental appointment. If your child has siblings, we request that they do not accompany the visit unless absolutely necessary. This helps us focus on your child’s care and ensures everyone’s well-being. These precautions are part of our pandemic safety guidelines, designed to protect all our patients and create the best possible experience for young patients and their families. Your understanding and cooperation are greatly appreciated.

We sincerely thank you for your help in making our dental practice a safe and caring place for our young and vulnerable patients. If you have any questions or concerns, don’t hesitate to contact our friendly team. We’re here to assist you every step of the journey.

Language Barriers and Communication Protocols

At our office, we strive to provide the best care possible to all our patients. Please note that our primary language of communication is English. If you do not speak English fluently, we kindly ask you to inform us in advance when scheduling your visit. This will allow us to make appropriate arrangements to ensure effective communication during your time with us.

To enhance your experience, we highly recommend and encourage you to be accompanied by an English-speaking adult who is 18 years of age or older. Having someone you trust by your side, who can serve as a translator and/or interpreter, will help ensure smooth and clear communication between you and our team.

We want to make sure that you feel comfortable and well taken care of during your visit. By informing us in advance and bringing an English-speaking adult with you, we can ensure that your needs are met and that you receive the highest quality of care.

COVID-19 Pandemic Safety Protocols

Due to the ongoing novel Coronavirus (COVID-19) pandemic, compulsory precautions and additional safety protocols are currently in place to provide a safe and seamless dental appointment to all our patients.

When scheduling your appointment, you will be pre-screened for COVID-19 and screened again on the day of your appointment.

Prior to your appointment – if you test positive, develop symptoms, and/or have been exposed to COVID-19 and asked to self-isolate, please call our office as soon as possible so we can proceed accordingly.

To ensure a comfortable experience for everyone, we kindly request that you bring only one essential caregiver or support person to accompany you during your appointment. Thank you for your understanding and cooperation.
