If you’re like most patients, you appreciate being informed before arriving at the dentist.  Being well-prepared for your dental appointment will ensure that we have all of the needed information to provide the best possible dental care for you. It will also help relieve any unnecessary anxiety you may be feeling.

Our commitment to you, starting from your first visit to our dental office, is to work together to create a lifelong relationship with our practice. We hope to make it easier with the following tips and an overview of what you can expect when visiting Beachstone Dental.

Your first visit is not only about our team getting to know you, but also about you getting to know our team. In the time we spend together, we encourage you to ask questions, express your concerns, and share with us anything you want us to know to help make your care as individual as you are. Your first visit with us may be for a comprehensive examination or a limited (emergency) examination.

  • To help us assess the overall health of your smile: a full-mouth x-rays, and a comprehensive exam of your teeth, gums, mouth, and jaws, will need to be performed, including a non-invasive oral cancer screening.
  • Emergency dental care is generally focused on diagnosing a specific dental concern and pain alleviation at your first appointment. Thereafter, follow-up appointments are usually needed to treat the root issue(s).

Upon the completion of your complete or limited examination, we will discuss the findings together and answer any questions or concerns you may have. Depending on the conditions present, your dentist will recommend a treatment plan best suited to your needs and goals.

If further treatment is required and with your consent, we will discuss your treatment options, treatment plan, priority levels and phases of treatment, schedule future appointments, discuss estimated fees, and complete all financial arrangements. We will provide a detailed financial consultation to ensure your dental treatments are timed effectively and affordably. We work hard to ensure you don’t have surprises when it comes to your billing and the choice to proceed with treatment will always be yours.

Please note that same day treatment (such as a dental cleaning, filling, or extraction) cannot be guaranteed and should not be expected for multiple reasons (including but not limited to your health history, medications, present oral conditions, infections, complexity of treatment and time constraints). If this is your first time visiting us, this is also why we must perform a complete dental examination before we can clean your teeth.

Please remember that the dentist’s examination is obligatory and paramount in the diagnosis of your oral health. During your visit, we will answer all your questions about your oral health.  As a patient, you can expect open communication with every member of our dental team.

Patient Information & Our Office Policies

Part of getting to know you and providing safe, personalized dental care involves reviewing your medical history. We ask all patients to complete mandatory health forms prior to their first appointment so that we can prepare your experience and offer expertise tailored to your needs.

Beachstone dental is a fee for service office and our fees for dental services are generally based on the current year’s fee guide as set out by the Ontario Dental Association. Full payment for dental services is due at the time of service unless prior written arrangements have been made with our office. Please bring your payment information with you to your dental appointment. We accept cash and most major debit and credit cards.

All professional services are charged directly to the patient and our office has a non-assignment of dental benefits policy, as recommended by the Ontario Dental Association. If you have dental insurance, a dental plan can be a great help in covering the cost of dental care. Beachstone Dental accepts most major dental insurances and our office will file most dental claims online on your behalf as a courtesy to you.

COVID-19 Pandemic Safety Protocols

Due to the ongoing novel Coronavirus (COVID-19) pandemic, compulsory precautions and additional safety protocols are currently in place to provide a safe and seamless dental appointment to all our patients.

When scheduling your appointment, you will be pre-screened for COVID-19 and screened again on the day of your appointment.

Prior to your appointment – if you test positive, develop symptoms, and/or have been exposed to COVID-19 and asked to self-isolate, please call our office as soon as possible so we can proceed accordingly.

What to expect during your first new patient dental appointment?

Prepare Any Questions in Advance

Every patient is an important part of our team. If there’s something specific that you would like to discuss about your oral health care, please let us know. We are happy to listen and help.

If you like, bring a list of questions or concerns you may have for our dentist or dental hygienist. This will help create a more thorough consultation, prevent any missing information, and help us address all your concerns. During your appointment, we will review your dental care history, as well as discuss your oral health and well-being with you.

Arrive Prepared with All Pertinent Information

For your first visit with us, please have all pertinent information with you so we can confirm your identity, review your health history, and provide you with quality dental care.

This information includes but is not limited to:

  • a current government-issued form of photo identification;
  • your health information – including your medical and dental history;
  • a complete list of all your current prescription medications, over-the-counter drugs, and/or natural supplements – please include the full name, dosage, and reason for taking the medication. If you have a preferred pharmacy, they can usually provide you with a complete list of your medications;
  • a valid form of payment – we accept cash and most major debit and credit cards;
  • if you have dental benefits – any dental insurance information;
  • and any other information required for us to provide you with quality dental care.

Please bring a valid, government-issued photo identification card (such as a Driver’s License card, Ontario Photo card, Permanent Residence card, or Passport) and your health card with you.

If you have any existing health conditions and/or are taking any medications, please bring the relevant information. This includes a list of your prescribed medications with the full name and dosage of the medication along with the reason.

Please be sure to inform us in advance if there are any special considerations we need to be aware of and/or if you need to be pre-medicated prior to your appointment.

If this is your first visit with us and you have been getting regular dental checkups, this may mean contacting a prior dental office to have your dental history records forwarded to our office. We have a Release of Records form available for you to send to your previous dental office if they require an official written request.

Please have your preferred method of payment with you when you arrive. We accept cash and most major debit and credit cards.  If you have dental insurance, please bring any pertinent information regarding your dental plan. We will gladly file any dental insurance claims on your behalf as a courtesy to you.


If the patient is a minor or under guardianship, a responsible adult, such as a parent or legal guardian, must accompany the patient to all appointments. Parents and/or legal guardians that accompany the patient may be required to fill out a form and submit a form of government-issued photo identification for the office to confirm their identity and relationship status with the patient.

Please note that we are an English-speaking office. If you do not speak English fluently, we kindly request that you inform us in advance when scheduling your visit so we can prepare for your visit accordingly. We highly recommend and encourage you to be accompanied by an English-speaking adult (18+ years of age) – someone you can trust to act on your behalf as a translator and/or interpreter and ensure effective communication.

Arrive at least 15-30 Minutes Before Your First Appointment

When you visit us for the first time, our team will take comprehensive records of your health history so that we have a clear picture of your oral healthcare and your needs.  We will ask you to fill out our New Patient forms as part of your registration process; please be sure to bring all relevant information with you to your first visit.  We will also be conducting a COVID19 screening and health history review.

Please arrive at least 15-30 minutes early so you have time to complete the new patient registration forms, review our office policies and any other relevant information, and complete a health history review.

Arriving early for your dental appointment helps us to address any issues with your dental insurance and/or medical history prior to your appointment time with our dentist or hygienist. Even if you have already completed the paperwork and have no questions, it’s still a good idea to show up a little early to your appointment so you do not feel rushed and it will ease any dental anxiety you may have.

Relax, You Are in Great Hands…

Beachstone Dental welcomes you to our dental office and we will guide you throughout the process. From our friendly receptionists and relaxing patient lounge to our treatment rooms, our space is designed to make you feel at home. Please feel free to ask us anything you like – we’re ready to help you with everything from scheduling appointments to our amenities to questions about dental procedures.

Our friendly team can help ease any dental anxiety or fear you have, and we have many ways of doing this prior to and during your treatment.  If this is your first visit with us, Dr. Prasad will sit with you prior to treatment so he can get to know you better and go over what the visit entails.

If your appointment is with our dental hygienist, she will clean and polish your teeth, conduct a full examination, and take x-rays. Afterward, Dr. Prasad will be consulted to check x-rays and conduct an additional examination of your teeth for signs of decay, check your gums for changes, and check signs of oral cancer or other diseases. He will always take the time to get to know you and address any questions and concerns you may have.

After the entire exam is complete, Dr. Prasad will talk with you about his findings. He will prepare recommendations for your total oral health and well-being. These recommendations will include your personalized full oral maintenance plan as well as the potential of any additional dental treatment that you and Dr. Prasad agree upon. If additional dental services are required, you will be presented with a treatment plan and an estimate. Together, we can create a healthy, effective treatment plan that best meets your dental and personal requirements.

At the end of your visit, we will take you back to our reception desk and take care of billing. We can schedule your next appointment for preventive care or for a respective procedure from your treatment plan.  We can prioritize and stagger your treatments to give you the smile you deserve in a time-frame you can afford.
