Your first visit with us may be for a comprehensive examination or a limited examination.

Comprehensive Oral Exam:  A complete oral exam is a thorough assessment of your overall oral health. During this examination, our experienced dental team will meticulously examine your teeth, gums, jaw, and surrounding oral structures. We will check for any signs of decay, gum disease, oral cancer, and other potential concerns. This comprehensive evaluation allows us to create a personalized treatment plan, addressing any issues and promoting your oral well-being.

Limited Oral Exam:  A limited oral exam is a focused examination designed to address a specific concern or problem area. Whether you’re experiencing tooth pain, a broken restoration, or localized discomfort, we will concentrate our efforts on the specific area of concern. By focusing on the problem at hand, we can efficiently diagnose and address the issue, alleviating any discomfort you may be experiencing. Emergency dental care is generally focused pain alleviation at your first appointment. Thereafter, follow-up appointments are usually needed to treat the root issue(s).

Same-Day Treatment Policy:

Same-day treatment such as cleanings, fillings, or extractions should not be expected during your first visit. If you would like to request same-day care, please let us know in advance and we will do our best to accommodate you, although it cannot be guaranteed.

Availability depends on several factors, including your health history, current medications, existing oral conditions, presence of infection, treatment complexity, and time constraints. For your safety and the best quality of care, a comprehensive oral examination must be completed before a dental cleaning or other treatments can begin.

Prevention and Ongoing Care: 

After completing your initial treatment plan, we schedule periodic preventive examinations and professional teeth cleanings. Regular visits help maintain oral health, allow early detection, and reduce the risk of more serious problems later.

Confirm your Appointment

When you book your first visit at Beachstone Dental, please take a moment to confirm the date and time. Adding it to your calendar or setting a phone reminder helps ensure you don’t miss your appointment and allows our dental team to keep the day running smoothly.

A gentle reminder:  If you need to reschedule, please provide at least 48 hours’ notice. This allows us to offer your time to another patient who may be waiting for care and keep our schedule running smoothly. Without sufficient notice, a cancellation fee may apply, but letting us know in advance helps you avoid this.

Bring All Pertinent Personal Information

Like most dental offices, we require new patients to complete new patient paperwork, including a patient information form and a medical history questionnaire. Filling these out thoroughly and accurately is very important, as it helps us understand your health background, current medications, allergies, and any past dental treatments. This ensures we can provide safe, effective, and personalized care for your smile.

To make your first visit as smooth and stress-free as possible, please have the following information ready:

  • A current government-issued photo identification (ID)
  • your health information – including your medical and dental history
  • a complete list of all your current medications.
    including prescription, over-the-counter, and natural supplements (with full name, dosage, and reason for use)
  • a valid form of payment – we accept cash and most major debit and credit cards;
  • if applicable, your dental benefits or insurance information
  • and any other details that may help us better understand your overall health and dental care needs

Identification:  For your first visit with us, please bring a valid form of identification to confirm your identity. This can be a government-issued photo ID, such as a Driver’s License, Ontario Photo Card, Permanent Residence Card, or Passport. Additionally, you may bring your health card along.

Health Information:  We kindly request you to bring all your relevant personal information, including a detailed medical history, to your first dental visit. This information is crucial for our dental team to provide you with safe and effective care, as it helps us understand any existing medical conditions, medications, or allergies that may impact your treatment or require special considerations. Your health history enables us to tailor our approach specifically to your needs and ensure the best possible dental experience for you.

Medication Information: Please make sure to bring a detailed list of all the medications you are currently taking, including the names and amounts of each medicine, as well as why you’re taking them. This includes any prescribed medications, over-the-counter drugs, and any vitamins or supplements you may be using. If you have a preferred pharmacy, they can usually give you a complete list of your medications. Alternatively, you can ask your pharmacy to send a fax of your medications to our office before your first visit. Our fax number is (519) 398 – 9208.

Special Considerations:  If you have any special considerations or require pre-medication prior to your appointment, please inform us in advance. We want to ensure your comfort and make any necessary arrangements for your specific needs.

Dental Records:  If you’ve previously visited another dental office, it’s helpful to request your dental records to be transferred to our office. This will provide us with valuable insights about your oral health history, any ongoing treatments, and X-rays, if available. Please consider contacting your previous dental office and authorizing the transfer of your records to ensure seamless continuity of care. We have a convenient Release of Records form available, which you can send to your previous dental office if they require an official written request.

Financial and Billing Information:  Our office operates on a fee-for-service policy and full payment is due at the time of service, unless prior written arrangements have been made with our office. Upon your arrival, please ensure that you have your preferred method of payment ready. We accept cash, as well as most major debit and credit cards.

Insurance Information:  To ensure clarity, we would like to inform you that our office follows a non-assignment of dental benefits policy. If you have dental insurance, we kindly request that you bring your insurance card, policy details, and any pertinent information related to your dental plan. It may be helpful for you to contact your insurance provider prior to your visit to confirm your coverage and familiarize yourself with any co-payments, deductibles, and any other plan limitations that may apply. As a courtesy to our patients, we are happy to assist you by filing dental insurance claims on your behalf.

Before You Arrive:  Helpful Steps for a Stress-Free Visit

Your first dental visit is designed to give us a complete understanding of your oral health needs. During this appointment, our team will take detailed records of your personal and medical history to provide safe, personalized, and effective care.

Before your first visit, take a few moments to note any concerns or questions about your oral health, treatments, or daily care. Bringing a list helps ensure nothing is missed and allows us to provide clear guidance, review your history, and address every concern so you leave feeling informed and confident.

Please allow about 1 to 1.5 hours, as this longer appointment includes patient registration, a review of your health history, dental radiographs, a comprehensive examination, treatment planning, and time for questions and discussion. Setting aside this extra time ensures we can complete everything without rushing and provide the highest quality care from the start.

Arriving and Registration: 

Plan for possible travel delays and aim to arrive at least 30 minutes early. This gives you time to check in, complete paperwork, and settle in comfortably before your exam. About 15 minutes will be devoted to new patient paperwork and registration. To save time, you may complete forms in advance. If you expect to need extra time, please plan to arrive earlier. Bringing all necessary information also helps make check-in smooth and efficient. Arriving early allows us to answer questions about paperwork, insurance, or medical history, and helps ease any dental anxiety.

Preparing for Your Appointment:  A few simple steps will help you feel at ease during your visit:

  • Eat a light meal beforehand.
  • Brush and floss thoroughly to support a more accurate exam and comfortable cleaning.
  • Use the restroom before your appointment.
  • Wear loose, comfortable clothing to relax in the dental chair.

For the comfort of all patients, we kindly ask that no food or drinks be brought into the office. This helps us maintain a clean, hygienic, and welcoming environment. Restrooms are reserved for patient use only to ensure privacy and cleanliness.

Financial Policies: Transparency You Can Trust

Beachstone Dental is a fee-for-service office, which means payment is made directly to us at the time of your appointment unless other written arrangements have been made in advance. Our fees follow the Ontario Dental Association (ODA) fee guide, which is the standard reference for dental service pricing across the province. This ensures our patients receive consistent and fair pricing for their care. We accept cash as well as most major debit and credit cards.

We accept most major private insurance plans and follow a non-assignment of benefits policy, as recommended by the Ontario Dental Association. This simply means your dental insurance company pays you directly instead of paying the dental office. Most patients receive their reimbursement quickly, often within a few days. To make things simple, our team can check your coverage, prepare your claim, and submit it online for you — so all you need to do is watch for your reimbursement.

For patients with Canadian Dental Care Plan (CDCP) coverage, please note that CDCP uses its own fee guide, which is different from the Ontario Dental Association’s guide. This means you are responsible for paying the difference between CDCP fees and actual treatment costs. Our team will review your coverage with you, provide a clear estimate before treatment begins, and submit your claims directly to CDCP on your behalf.

Office Guidelines for Patient Safety and Support

At our office, your health, comfort, and safety are always our top priority. To provide the best care for every patient, we kindly ask you to review the following guidelines before your visit.

For minors and patients under guardianship, a parent or legal guardian must accompany them to the appointment and remain on-site for the duration of the visit. Guardians may be asked to complete a form and show government-issued photo ID for verification. To ensure a safe and comfortable experience, we kindly request that only one parent or guardian attend, and that siblings not come along unless absolutely necessary.

Our primary language of communication is English. If you are not fluent, please let us know when scheduling your appointment so we can prepare in advance. We also encourage patients to bring an English-speaking adult who can act as a translator or interpreter. This helps us communicate clearly and provide care that is tailored to your needs.

Although pandemic restrictions have eased, we continue to follow enhanced cleaning, sterilization, and air filtration to protect every patient. Our dental team wears masks during all appointments for added safety. If you are feeling unwell, showing symptoms, or advised to isolate, please call us before your visit so we can make proper arrangements. For everyone’s comfort, only one essential caregiver or support person should attend if needed.
