Financial Policy and Billing Information

Payment Information and Financial Options

Every patient is unique, and treatment is always customized to your individual oral health needs and goals. Because dental costs vary depending on the care required, fees are determined after an examination and consultation with your dentist. During this appointment, your dentist will review your medical and dental history, take x-rays, and perform a comprehensive oral exam (or a limited exam if you would like us to focus on a specific concern).

Once the examination is complete, your dentist will explain the findings, review your treatment options, and discuss any recommended care. You will also receive a clear estimate of costs along with available payment options. We believe dental decisions should always be a collaboration between you and your care provider, so we encourage open communication and welcome your questions.

If you choose to proceed with treatment, we will schedule your next visit and our reception team will assist with billing. You can expect complete transparency with no hidden fees or surprises. The decision to proceed with dental treatment is always yours, and our role is to make sure you feel fully informed and confident about your care.

If you have any further questions after reviewing the information below, please don’t hesitate to call our office at (519) 398-0826 – we’re always happy to hear from you and answer any questions you may have.

Payment Information

Beachstone Dental is a fee-for-service office, and full payment is due at the time services are provided unless prior written arrangements have been made with the office. Our fees for dental treatment and services are generally based on the Ontario Dental Association Fee Guide.

Please bring your payment information with you to your appointment. We accept cash and most major debit and credit cards. If you choose to pay by credit card, you may also benefit from collecting rewards such as cashback or travel points.

To make dental care more manageable, treatment can often be phased or scheduled over time. This approach allows you to plan your care in a way that feels comfortable both financially and personally, while still receiving the high-quality treatment you deserve.

Insurance and Billing Information

As your dental provider, our primary responsibility is to deliver the highest quality of care to support your oral health. As a patient, it is your responsibility to pay the fees for your dental procedures, regardless of your insurance coverage. If you have dental insurance, your plan can be a valuable tool in helping offset the cost of care.

We want you to feel confident knowing that we never limit or design treatment plans based on insurance coverage. Instead, we provide you with all the information about your oral health and the full range of treatment options available. You are then able to decide which path is best for you, and we will support your choice with transparency and respect.

Please note that Beachstone Dental is a non-assignment of benefits office, which means we do not accept payment directly from insurance companies. Assignment of benefits is when a dentist collects only the uninsured portion of your care at the time of your visit and then waits for the insurance company to pay the remainder.

While this system may seem convenient, it has become increasingly difficult for dental offices to verify benefits, receive timely payments, and manage the wide variety of insurance plans under current privacy regulations. For small, privately-owned practices like ours, these challenges can significantly impact the ability to provide seamless care. For this reason, and in line with recommendations from the Ontario Dental Association, we follow a non-assignment policy.

With this approach, you pay for your treatment directly at the time of your visit, and your insurance company reimburses you. Most patients find that reimbursement is processed quickly, often within just a few days, and our team is happy to submit your claim electronically on your behalf to make the process simple.

If you have dental benefits, our office will gladly assist you with filing claims so you can receive reimbursement directly from your insurance provider. After full payment is made at your appointment, we will electronically submit your claim through CDAnet to your insurance carrier as a courtesy. Once your claim is processed, your insurer will reimburse you directly. Most claims are processed quickly, and many patients receive their reimbursement within just a few days. If you have direct deposit set up with your insurance provider, the funds are deposited even faster, directly into your account.

To help us submit your claim on your behalf, please bring all of your medical and dental benefit information, including insurance cards, to your visit.

Our Non-Assignment of Benefits Policy

At Beachstone Dental, our priority is your health and well-being. We follow a non-assignment of benefits policy, as recommended by the Ontario Dental Association (ODA). This means you pay us directly at the time of your visit, and your insurance company reimburses you. Most patients find this process simple and fast, with reimbursement often arriving within just a few days, especially when direct deposit is set up.
Why Non-Assignment is a Good Thing

The ODA encourages non-assignment because it keeps treatment focused on your personal needs, not the limits of an insurance plan. When patients are more involved in their dental care and its costs, they:

  • Gain a better understanding of their benefits and learn how to use them wisely
  • Feel confident discussing fees and coverage with their dentist
  • Become more active participants in their oral health decisions
  • Identify opportunities to improve the design of their dental plans with employers or plan sponsors

This approach ensures that your treatment options are always based on what is best for you, not on what your plan may or may not cover.

Insurance Support Made Easy

Although payment is made directly to our office, we make the insurance process as simple as possible:

  • We will gladly submit your claims electronically through CDAnet as a courtesy.
  • We can help you verify your coverage and, upon request, submit claims for predetermination, though this is rarely required for routine care.
  • We provide clear written estimates that outline the cost of treatment, estimated insurance coverage, and your portion.
  • If needed, we can help you schedule or phase treatments in a way that fits your budget and lifestyle.
Important Things to Know
  • Insurance plans may not cover the full cost of treatment, even when predeterminations are submitted.
  • Your insurance policy is an agreement between you, your employer, and your insurance provider, so we cannot guarantee coverage amounts.
  • Privacy regulations, such as the Personal Information Protection Act (PIPA), limit how much information insurance companies can share with us. For this reason, please update our office with any changes to your plan (such as carrier, policy number, identification numbers, or plan maximums).
  • You are ultimately responsible for all charges incurred at our office, regardless of your insurance company’s payment.

Insurance Verification and Estimates

We want to make your experience as smooth and stress-free as possible. If you would like your benefits verified before treatment, simply provide our office with your insurance information ahead of time. Upon request, we can also send a claim to predetermine your coverage, though most plans do not require this step for routine treatment. To give you peace of mind, we will review your benefits and financial responsibilities with you in advance so there are no surprises on the day of your appointment.

Please remember that dental plans may not always cover the full cost of treatment, even if a predetermination has been submitted. Because your policy is an agreement between you, your employer, and your insurance provider, exact coverage cannot be guaranteed. That said, our team is here to guide you through your options and make sure everything is explained clearly. Most patients find the process simple, and with privacy regulations such as the Personal Information Protection Act (PIPA), it is often easiest for you to keep us updated on any changes to your plan details so claims are processed quickly and accurately.

As a courtesy, our team will gladly submit claims, process forms, and handle estimates or pre-authorizations for you. Many patients are pleasantly surprised to receive their reimbursements within just a few days, and even faster if direct deposit is set up with their insurer. While it is ultimately your responsibility to know your coverage and seek reimbursement, we make the process as easy as possible so you can focus on your oral health, not the paperwork.

You are responsible for all charges incurred at our office regardless of your insurance company’s coverage, but rest assured that our team is here to support you every step of the way. If you have questions or need assistance with your insurance policies or claims, simply call us. Our friendly staff is always happy to help make the process clear and worry-free.

Canadian Dental Care Plan (CDCP) and Our Financial Policy

In addition to our standard fee-for-service policy and non-assignment of private dental insurance, we are pleased to bill the Canadian Dental Care Plan (CDCP) directly on behalf of our patients. This makes it easier for eligible patients to use their CDCP benefits without having to manage claims themselves.

The CDCP is a federal program designed to make essential dental care more affordable for Canadians without private insurance. Coverage levels depend on household income and may be 40%, 60%, or 100% of eligible fees. Please note that CDCP uses its own fee guide, which differs from the Ontario Dental Association’s guide. If CDCP’s fee is lower than the ODA fee for a service, patients are responsible for paying the difference at the time of treatment (known as balance billing). Our team will always provide a clear estimate in advance so you know exactly what is covered and what your portion will be.

To learn more about how CDCP coverage works, including examples of what is covered and how balances are calculated, please visit our Canadian Dental Care Plan (CDCP) page.
