Your first visit is all about you. From the moment you arrive, you’ll be welcomed with a warm smile and a calming atmosphere. Dr. Prasad will complete either a comprehensive or limited oral exam, depending on your preference, and will take the time to discuss your dental health needs and personal goals. Following your exam, we will review any treatment options if needed and answer your questions. At every step, your comfort, safety, and convenience remain our top priorities. Our goal is to help your smile shine with confidence while keeping your teeth strong and healthy for years to come.

Personal Health Information

Your health and safety are always our top priority. To provide safe, accurate, and personalized dental care, it is essential that you share your complete and honest health information with us. All details are kept strictly confidential and managed in accordance with privacy laws, including Ontario’s Personal Health Information Protection Act (PHIPA).

Before your first visit, you will be asked to complete required forms, including a medical and dental health questionnaire. Please include all relevant health conditions or special considerations so we can properly prepare for your care.

It is especially important to notify us if you have or have ever had: diabetes, high blood pressure, artificial heart valves, joint replacements, rheumatic fever, bleeding disorders, allergies, pregnancy, infections, recent surgeries, or if you require pre-medication (such as antibiotics before dental cleanings).

For medications, please provide a complete list of everything you take, including prescription drugs, over-the-counter medications, vitamins, and natural supplements, with the full name, dosage, and reason for use. This information is crucial for your safety and allows us to adjust treatment appropriately.

Unless your visit is specifically booked as a limited exam for one concern, your first appointment will include a comprehensive examination of your teeth, gums, mouth, and jaws. When clinically indicated, we will also take full-mouth X-rays and provide a noninvasive oral cancer screening. These steps are considered standard of care and are necessary for accurate diagnosis, safe treatment planning, and early detection of conditions.

If you have recent dental records or X-rays from another office, please arrange for them to be forwarded to us. If you prefer, let us know and we will provide a release form to request them on your behalf.

Because your general health is closely connected to your dental health, please keep us updated on any changes to your medical history or medications. This ensures your care remains safe, effective, and tailored to your needs.

Financial Policy

Beachstone Dental fees for dental services are based on the ODA Fee Guide, as set by the Ontario Dental Association.

Each patient is unique and requires treatment based on their particular oral healthcare needs and goals. Therefore, Dr. Prasad will review your medical and dental history, take x-rays, and complete a comprehensive oral examination before establishing your treatment planning and the fee for care. Our dentist will share his findings with you and answer any questions and/or concerns you may have. He will explain to you the recommended treatment (if necessary), the estimated costs involved, and the payment options. If you choose to proceed with the recommended treatment, he will set a date for your follow-up appointment(s) and guide you back to the reception area so our friendly team can take care of the billing.

Please remember that as a patient, it is your responsibility to pay the fees for your dental procedures. Full payment for services is due at the time services are rendered unless prior arrangements have been made. Please bring your payment information with you to your dental appointment. We offer flexible payment options, and we accept cash and most major debit and credit cards. We suggest you use a rewards card so you can collect free reward points (i.e. cashback, travel points, etc.) on your card.

You play an important role in your dental care, and we believe all treatment and dental care decisions should be a collaboration between you and your dental care provider. You will never have surprises when it comes to your bill and the choice to proceed with treatment is always yours.

We want to help you receive the dental care you deserve. Your smile is as important to us as it is to you.

Insurance and Billing Information

We want every part of your visit, including billing, to feel simple and stress-free. If you have dental insurance, please bring your benefit card and details to your appointment. As a courtesy, we’ll submit your claims electronically through CDAnet so you receive reimbursement quickly—often within just a few days, and even faster if you have direct deposit set up with your insurer.

Our office follows a non-assignment of benefits policy, as recommended by the Ontario Dental Association. This simply means payment is made at the time of your visit, and your insurance company reimburses you directly. Most patients find this process convenient and straightforward, and it ensures your treatment is always guided by your needs, not the limits of your plan.

Before any treatment begins, we’ll provide clear estimates that outline your options and expected costs so there are never surprises. While dental plans may not cover every expense and exact amounts cannot be guaranteed, our team is always here to explain your coverage, answer your questions, and make the process easy.

You are ultimately responsible for your charges, but you are never on your own. We’ll take care of claims, help you understand your benefits, and support you at every step so you can feel confident and comfortable in your care.

Appointment Policy

At Beachstone Dental, your appointment time is reserved exclusively for you. This allows us to provide the personalized care and attention you deserve. While we are happy to provide courtesy reminders by phone, email, or text, it remains your responsibility to arrive on time and prepared for your scheduled visit.

If you need to reschedule, we kindly ask for at least 48 hours’ notice. This gives us the opportunity to offer your reserved time to another patient who may be waiting for care.

Missed appointments or insufficient notice may result in a failed appointment fee of $75. This policy allows us to respect the time of all our patients and maintain smooth scheduling for those who rely on timely dental treatment.

We understand that emergencies and unexpected circumstances can arise, and we encourage you to contact us as soon as possible if you are unable to keep your appointment. Our team will always do our best to accommodate your needs while continuing to provide the highest standard of care for all patients.

Guidelines for Minors and Patients Under Guardianship

For the best experience and your loved one’s well-being, we’d like to request that if you’re bringing a minor or an adult under guardianship to their appointment, please have a responsible adult, like a parent or legal guardian, accompany them. This way, we can ensure top-notch care and your peace of mind.

For a seamless experience, we might ask parents or legal guardians who come along with the patient to fill out a form and show a government-issued photo ID. It’s just a simple way to make sure we know who you are and your connection with the patient.

To ensure the safety and comfort of our young patients and their families, we kindly ask that only one adult, such as a parent or legal guardian, accompanies the child to their dental appointment. If your child has siblings, we request that they do not accompany the visit unless absolutely necessary. This helps us focus on your child’s care and ensures everyone’s well-being. These precautions are part of our pandemic safety guidelines, designed to protect all our patients and create the best possible experience for young patients and their families. Your understanding and cooperation are greatly appreciated.

Language Barriers and Communication Protocols

At our office, we are committed to providing the best care possible for every patient. Our primary language of communication is English. If you are not fluent in English, please let us know in advance when scheduling your appointment so we can make arrangements to support clear communication during your visit.

For the best experience, we strongly encourage you to bring an English-speaking adult (18 years or older) whom you trust to act as a translator or interpreter. This will help ensure smooth communication and allow us to fully understand your needs and provide the highest quality of care.

Our goal is to make sure you feel comfortable, understood, and well cared for at every step. By informing us in advance and arranging language support, we can work together to ensure your visit is stress-free and positive.

Infection Control and Safety Protocols

Your health and safety are always our top priority. While COVID-19 restrictions have eased, we continue to follow enhanced cleaning, sterilization, and air filtration measures to maintain a safe and comfortable environment for all patients. All members of our dental team also wear masks to ensure added protection during your visit.

If you are feeling unwell, develop symptoms, or have been advised to isolate, please contact our office before your visit so we can make the best arrangements for your care. For everyone’s comfort, we ask that only one essential caregiver or support person accompany you when needed.
